How to Address a Letter Correctly: Recipient, Salutation, and Envelope Format

In business letters, the recipient's title and name go in the dative case in Russian: «директору» (to the director), «генеральному директору» (to the CEO). Learn the rules for writing the To and From lines in formal letters, applications, and complaints.

The "To" line is the first thing a recipient sees in a business letter. A grammatical error in the job title or name makes the sender look careless. This guide explains how to format the recipient block and salutation correctly.

What Is a Proper Business Letter Addressee

The addressee block answers the question "To whom?" in a formal document. It includes:

  • the job title in the dative case ("генеральному директору" — to the CEO);
  • the surname and initials ("Иванову А.С.");
  • the organization name.

The salutation is the greeting line: "Уважаемый Иван Петрович!" (Dear Ivan Petrovich!) or "Уважаемые коллеги!" (Dear colleagues!).

Dative Case Rule for Job Titles

In Russian, all job titles decline. If the nominative form is "генеральный директор" (CEO), the dative is "генеральному директору" (to the CEO). This applies to compound titles too: "директору по продажам" (to the sales director), "заместителю главного бухгалтера" (to the deputy chief accountant).

Common mistakes:

  • "Для Генерального Директора" — capital letters and wrong preposition;
  • "Ген. директору" — abbreviation instead of full word;
  • "Директору ООО «Ромашка» — unnecessary preposition before the company name.

How Russian Names Decline

Surnames, first names, and patronymics all decline in Russian. In the dative case:

  • masculine surname ending in "-ов" → "Иванову" (to Ivanov);
  • feminine surname ending in "-ая" → "Петровой" (to Petrova);
  • first name and patronymic decline by regular rules: "Ивану Ивановичу" (to Ivan Ivanovich).

Important: some surnames do not decline. These include Eastern surnames ending in "-ко", "-ян", "-ли", "-цой". When a surname could be either gender, leave it in the nominative case.

"Уважаемый" vs "Уважаемая" (Dear)

The gender of the recipient determines the form:

  • Уважаемый — for males: "Уважаемый Иван Петрович!" (Dear Ivan Petrovich!)
  • Уважаемая — for females: "Уважаемая Анна Сергеевна!" (Dear Anna Sergeevna!)

If the gender is unknown, use the neutral form "Здравствуйте!" (Hello!) or "Уважаемый!" (Dear!).

When to Leave a Surname Unchanged

Surnames like Ким, Ли, Цой, Пак, Чан do not always decline predictably. If in doubt, leave the surname in the nominative case. The letter will still be grammatically correct, and a note in the document reminds the sender to review the wording.

What Goes in the "From" Line

The "From" line contains the sender's details:

  • job title;
  • surname and initials;
  • organization name.

Both "To" and "From" lines are required for formal applications and official letters. For internal memos or informal notes to colleagues, the "From" line can be omitted. Try the Addressee Generator →

Frequently Asked Questions

Can I write "Директору" without the name?

Yes, if you are addressing a specific person by job title and their full name is unknown. But a personalized salutation is always better.

What if the surname does not decline?

Leave it in the nominative case: "Для Ким Елены Сергеевны" (To Kim Elena Sergeevna). This form is acceptable in business correspondence.

Do I decline the organization name?

No. Organization names do not decline. Write: "To the CEO of ООО «Ромашка»", not "To the CEO of ООО «Ромашки»".

How do I address a group?

Use the plural form: "Уважаемые коллеги!" (Dear colleagues!). It works for internal documents and mass communications.

Summary

  • Job title — in the dative case: "директору", "главному бухгалтеру";
  • Full name — declines if the case is unambiguous;
  • Salutation — "Уважаемый/Уважаемая" + first name and patronymic;
  • Organization — does not decline;
  • Non-declining surnames — stay in the nominative case.
